Thank you for volunteering!

volunteersHow this works:

  1. Volunteers must be attendees of the conference.
  2. Pick the job you want by highlighting and then copying the line item/job into the submission form at the bottom. Fill in your name and email information, verify and submit. You will see a “Submission Received” message but you WILL NOT receive a separate confirmation email instantly. Within a few days the slot will show filled below.
  3. You will receive an email from the volunteer chair, confirming your volunteer task(s).
  4. Contact the volunteer coordinator should anything change with your availability.
  5. At conference, arrive at the appointed time and place. Let the onsite volunteer coordinator know you are there and they will show you what is needed. Volunteers requiring additional information or training will be contacted prior to conference (if needed) with instructions required to perform their selected task. Otherwise, you will receive volunteer instructions in your registration packet.
  6. There will be an opportunity drawing for a free registration to our next conference from the pool of volunteers. Volunteers will receive one entry per volunteer position worked.

INFORMATION TABLE – 16 Volunteers

Coordinator: Chandra Years

Time and Place: Friday, March 24, at or near the Registration Table; Saturday, March 25, at the Info Table; Sunday, March 26, at the Info Table.

Description: Volunteers for the information table will help the conference committee field questions and sell raffle tickets for the “Night Tales” opportunity drawings at or near the registration table. Volunteers will need a general knowledge of what is going on (info will be provided) and will need to safeguard and turn in funds and tickets to the Night Tales Coordinator.

RECEPTION/MEAL SETUP – 8 Volunteers

Description: Help set up the ballroom for the Friday night welcome reception or a keynote meal and provide guidance to attendees as needed. Volunteers will need a general knowledge of what is going on (info will be provided).

CALIFORNIA READIN’ – 40 Volunteers

Coordinators: Barbara Vey, Chandra Years, Cami Brite

Time and Place: Saturday, March 25, 11am-6pm, Ballroom & Atrium

Description: California Readin’ is an event especially for romance readers to connect with romance authors. Volunteers will help with crowd control, information, check-in, and helping the event to run smoothly. PLEASE NOTE: You may not volunteer AND be a participating author at the event.

Set-Up
Set-Up will involve things like getting tables marked, getting promotional material in place and helping authors set up. This job may require walking back and forth from a room adjacent to the ballroom, standing, moving small items and general light lifting. The setup crew has access to several flat carts and the hotel staff moves tables, chairs, etc. so no heavy lifting is required.

Photography volunteers will be charged with coordinating a photo of each author with the winner of their door prize and taking candid photos of the event if needed with their own phone/camera.

Transition Crew
The transition between the ballroom event and the book signing will be very fast. Transition crew will set up the book signing tables, assist the signing authors in finding their seats for the signing, pick up left over promotional materials in the ballroom, and help book signing security volunteers if needed. Volunteers in these positions need to be assertive (but polite) and comfortable directing crowds.

Book Signing Security
The security volunteers will assist with crowd control in the atrium during the book signing, preventing outside books from being brought in and making sure all books are purchased via The Ripped Bodice. Volunteers in these positions need to be assertive (but polite) and comfortable directing crowds.

WORKSHOP MODERATORS – 55 Volunteers

Coordinator: Maggie Marr

Note: You may be selected for up to three sessions. The workshop list with times is available on the website and you may request specific sessions. The sessions will be assigned on a first come, first served basis as we are able. Please keep in mind that some speakers will bring or request their own moderators, which we will honor. Workshop moderators will receive separate confirmation from other volunteer positions.

Description: Moderators introduce the speaker and keep time for the session. Moderators do not troubleshoot the projectors or AV equipment.

How we select who moderates what: If a volunteer requests a specific workshop, we make every effort to assign them to it. However, we will not be able to do so in all cases. Some speakers bring their own moderators or they request specific moderators. We are inclined to grant the requests of our speakers first and moderators second. Otherwise, the workshop committee will fill the slots on a first to volunteer, first to be assigned basis. To request specific workshops, please check the schedule.

When will I know which workshop(s)? Moderators will be notified via email with session assignments one to two weeks prior to conference. Workshop assignments are scheduled around volunteers’ pitch appointments, so moderator notifications will occur after Editor/Agent pitch assignments are made if at all possible.

BOOK CAMP – 2 Volunteers

Time and Place: Friday, March 24, prior to conference, 11am-4pm, in/near the Ballroom.

Description: Volunteers will sign in attendees prior to the session to ensure they are registered and paid.

Please note: you may volunteer to help with Book Camp without attending, but you must be registered and paid to attend the whole class.

REGISTRATION – 15 Volunteers

Time and Place: Friday, March 24 and Saturday, March 25, at the Registration Table.

Description: Volunteers should meet at the registration table ten minutes prior to their scheduled shift for training. Registration duties consist of handing out packets and tote bags, and having attendees sign for them. There is light lifting of bags and shifting of registration packet boxes. The first volunteers will help move tote bags out of storage. No heavy lifting is involved.

EDITOR/AGENT SUPPORT – 8 Volunteers

Time and Place: Saturday, March 25, 9:00 am-2:00pm, TBA

Description: Help keep attendees in the right place at the right time. Refreshment volunteers will handle minor refreshment fetching as needed. You will check in with one of the editor/agent coordinators fifteen minutes prior to the beginning of your assigned shift and be readily accessible to the coordinators. Working during the pitch sessions is an intense, fast-moving role which can be fun but is also stressful. Volunteers in these positions need to be assertive (but polite) and comfortable directing crowds. If you are shy and uncomfortable with directing people, as much as we’d love to have you, for your comfort, please select a different volunteer position.
